The Old Rectory Swimming Pool – Terms & Conditions of Hire
The hire agreement is between The Old Rectory Swimming Pool and the lead person making the booking. By booking a session at The Old Rectory Swimming Pool, you agree to the following terms and conditions. These rules ensure the safety, comfort, and enjoyment of all guests, and protect our home and facilities.
1. General Terms of Hire
- You must read, understand, and comply with all pool rules.
- The person making the booking is responsible for the behaviour and safety of all guests attending the session.
- All guests must be aware of and follow these rules.
- Failure to comply may result in your session being ended early without refund.
2. Arrival, Departure & Timekeeping
- Please arrive and leave within your booked time slot, including time needed for changing.
- You may not enter the property before your session begins or remain after it ends.
- Punctuality ensures smooth changeovers between bookings.
3. Number of Guests & Payment
- You must book for the total number of people on site, not just those swimming.
- This includes anyone supervising, watching, or accompanying swimmers.
- We charge per person on site, regardless of age.
- If you need to add additional guests, please email bookings@theoldrectorysheering.co.uk before your session to arrange payment.
4. Use of the Pool & Facilities
- The pool is located in our private garden. Please respect our home and only access:
- the pool area
- the pool room (for changing)
- the portable toilet
- Do not enter any other areas of the property.
- All damages and breakages must be reported immediately to the owners.
- All rubbish must be taken away with you at the end of your session.
- No dogs are permitted anywhere on the premises, including the garden and parking area.
- We can comfortably fit 3 cars for parking. If you require any more, please email bookings@theoldrectorysheering.co.uk to arrange. Parking immediately outside the property on any of the grass verges is strictly prohibited.
5. Safety & Supervision
- Use of the pool is entirely at your own risk.
- No lifeguard, first aider, or supervision is provided.
- Children under 18 must always be accompanied and closely supervised by a responsible adult.
- At least one adult must have access to a charged mobile phone in case emergency services need to be contacted.
- The deep end is 2.5m. Only confident, capable swimmers should use this area.
- Accidents and incidents must be reported to the owners.
- Individuals with contagious illnesses should not swim.
- The owners of The Old Rectory Swimming Pool are not liable for any injury, illness, accident, loss or damage to property, however caused, directly or indirectly, in or out of the pool.
- No running around the pool area — surfaces may be slippery when wet.
- All children who are not potty trained must wear a swim nappy at all times.
6. Security Cameras
- For the safety of all our visitors, there are security cameras in the pool area and at key access points. They are positioned in public spaces and never in or pointing at the changing area or in the toilet.
- The cameras are used for safety, security, and incident investigation and is only viewed if there is an incident to investigate or a suspicion the group as not paid for the correct amount of attendees.
- Footage is stored securely for a limited period and may be shared with authorities where legally required.
- By hiring the pool, you acknowledge that security cameras are in operation during your booking.

7. Prohibited Items & Behaviour
- No glass is permitted in the pool area under any circumstances.
- No alcohol is allowed on the premises.
- No smoking anywhere on the property, including on the driveway or just outside the driveway.
- Do not touch or interfere with the pool pump, equipment, or chemical storage.
- The chemical cupboard in the pool room must not be opened.
8. Liability
- The owners and operators of The Old Rectory Swimming Pool accept no liability for injury, illness, accidents, loss, or damage to guests or their property, however caused, directly or indirectly, in or around the pool.
9. Cancellations & Refunds
- Bookings of less than 12 people are subject to a 48‑hour cancellation and reschedule policy. You must give at least 48 hours notice (from the start time of your session) to receive a refund.
- Bookings of 12 people or more are subject to a 7-day cancellation and reschedule policy. You must give at least 7 days notice (from the start time of your session) to receive a refund.
- Please email bookings@theoldrectorysheering.co.uk or reply to your confirmation email if you need to cancel your session.
- The Pool Owners may need to cancel and fully refund a booking without notice due to unforeseen circumstances (this is extremely rare).
- In the event there is a thunderstorm during you booking, you will need to vacate the pool immediately and you will be refunded for the rest of your session. If there is a thunderstorm within 30 mins of the start of your session, your booking will be cancelled and a refund given as it is unsafe to swim when there is lightening in the area. We do not cancel and refund based on the weather forecast, as often it doesn’t materialise.
10. Damages & Property Care
- Any damage or breakages must be reported to the Pool Owners immediately.
- Cars may be parked on site but are left at the hirer’s own risk.
- Please leave the portable toilet in the condition you found it and report any issues.
11. Termination of Hire
- Failure to follow these terms and conditions may result in your session being ended immediately.
- No refunds will be issued in such circumstances.
